Communications 104: Message Assets and Reusable Content
Message assets help you choose the right way to communicate—whether you’re sending a quick SMS alert or a rich, automated email.
![]()
This guide introduces message assets in Activity Messenger—the tools you use to create and send messages by email and SMS.
Message assets include templates, quick messages, media (images, videos, documents), and certificates. Each one is designed for a specific kind of communication, from quick operational alerts to detailed emails and personalized documents.
Rather than focusing on buttons or settings, this guide explains how these assets fit together and when to use each one. Understanding this makes it easier to choose the right tool, send clearer messages, and avoid overcomplicating your communications.
Step-by-step instructions for each asset are covered in the dedicated guides linked throughout this guide.

🧭 Orientation: Message Assets as Purpose-Built Tools
Message assets are reusable building blocks, but they are not interchangeable.
They intentionally separate:
-
Rich, designed communications from fast, operational ones
-
Structure from wording
-
Media and documents from messages themselves
This separation allows Activity Messenger to support both:
-
Carefully designed, automated email flows
-
Fast, one-off, operational SMS messages
🧩 Message assets at a glance
Message assets are designed for different communication needs and situations—not just different message formats.

| Asset | Primary role | Designed for | Key characteristic |
|---|---|---|---|
| Templates | Structured, rich messages | Email-first | HTML layout with blocks and media |
| Quick messages | Fast, operational messages | SMS-first | Text-first, link-based when needed |
| Media | Reusable visuals and documents | Email & SMS | Delivered inline (email) or via links (SMS) |
| Certificates | Personalized documents | Email & SMS |

How this works
Each asset has its own role. Messages are created at send time by combining the pieces you need, often with placeholders.
1. Templates (Email-First, Rich Messages)
Templates are designed for longer, more detailed communications, where layout, visuals, and interaction matter.
Use templates when your message needs:
-
A rich HTML layout
-
Images, buttons, videos, Zoom links, or certificates
-
Clear visual structure and hierarchy
-
Reuse across automations and recurring workflows
Common use cases include:
-
Newsletters
-
Pre-camp or pre-event emails
-
Purchase confirmations and receipts
-
Automated e-commerce messages (confirmation, cancellation, reminders)
Templates are email-first:
-
They generate responsive HTML emails
-
When sent by SMS, recipients receive a link to a web version of the message
Templates define structure, not delivery:
-
They don’t choose who receives the message
-
They don’t control when it’s sent
-
They can be reused and lightly adapted across many communications
➡️ To learn how to create, edit, manage and send templates in detail, see Creating and Using Email Templates.
2. Quick Messages (Fast, Text-First Messages)
Quick messages are designed for speed, clarity, and immediacy.
They are short, lightweight messages intended for:
-
One-off communications
-
Operational updates
-
Urgent or time-sensitive situations
Common use cases include:
-
Closures or class cancellations
-
Last-minute schedule changes
-
Emergency notifications
-
Simple reminders or alerts
Quick messages are:
-
Text-first
-
Designed to work naturally in SMS
-
Simple enough to be written, reused, and sent quickly
Unlike templates, quick messages:
-
Do not rely on complex layout
-
Do not include rich visual structure
-
Focus on what needs to be said, not how it looks
Quick messages are meant to be plug-and-play. They are often reused for operational reminders and short announcements, and they work especially well with placeholders, allowing you to send precise, personalized messages without extra setup.
They can be sent by SMS or email, but their design assumes plain-text delivery, making them ideal when speed matters more than presentation.
➡️ For a complete walkthrough, including how to create, reuse, and personalize quick messages, refer to Creating and Using Quick Messages.
🧭 Choosing Between Templates and Quick Messages
Use a Template when the message needs design, structure, branding, images, buttons, or automation reuse.
Use a Quick Message when the message needs to be short, fast, operational, and easy to send by SMS.
A simple rule of thumb:
-
If the message needs design, structure, or automation → use a Template
-
If the message needs to go out fast and be read immediately → use a Quick Message
This distinction helps prevent:
-
Overdesigned SMS messages
-
Overcomplicated urgent communications
-
Misuse of templates for one-off operational needs
3. Media (Reusable Visual and File Assets)
Media includes all reusable assets that support your messages, such as:
-
Images
-
Videos
-
Documents (PDFs)
Media assets:
-
Are stored in one central place
-
Can be reused across templates, quick messages, forms, and certificates
-
Are referenced by messages, rather than duplicated each time
Media assets do not define the message itself. They simply provide supporting visuals or files that messages can link to or display.
➡️ For more information, see Media Library and Media Management.
4. Certificates (Personalized Documents)
Certificates are personalized documents generated dynamically using placeholders.
They are commonly used for:
-
Completion certificates
-
Report cards
-
Assessments and evaluations
Certificates:
-
Pull data from lists, forms, and assessments using placeholders
-
Can be sent by email, SMS (as a link), or embedded in templates
-
Exist independently of any single message and can be reused across communications
